Position: Full-time Receptionist/Secretary Work Location: primary location20 Morrison Drive, St. Thomas, ON Commitment: 35 hours per week Compensation: Expected salary range: $20.00 - $22.00 per hour. Placement within this range is commensurate with relevant industry experience, qualifications (education, skills) and/or professional designations. This position is eligible for participation in the lay staff benefits plan and pension program. Posting Date: April 30, 2026 Closing Date: May 15, 2026 Vacancy: This position will be available June 1, 2026 Position Summary: Reporting to the Business Manager, the Receptionist/Secretary is responsible for professionally and courteously greeting all who contact the office, either in person, by phone or email. This position is responsible for completing administrative based functions such as ensuring accurate and timely data entry, records maintenance, supply inventories, and event bookings. Summary of Duties:
Prepare and print bi-weekly Bulletin and Quarterly Newsletters for the Family of Parishes
Answer phone inquiries and/or direct calls to the appropriate individual
Maintain website for events, create banners
Greet and welcome walk-ins
Complete mass requests and accurately record information
Maintain parish registries for baptisms, confirmation, marriages and deaths.
Answers questions about Sacraments - Baptisms, 1st Reconciliations, 1st Communions, Confirmations, Weddings, Deaths and other events or programs in the Family of Parishes
Accept deliveries, gather, open and sort mail as required
Coordinate with the Custodians for event setup/take down in the churches and halls
Book meeting rooms for staff and/or groups
Maintain proper levels of office and/or liturgical supplies (e.g. wine, hosts, candles) and order as needed
Maintain supplies of forms (new registration, pre-authorized debits, etc.)
Update and maintain accurate parish records on DDMS (new registrations, information changes) and update all relevant sacramental records
Prepare Baptismal and Confirmation certificates for participants
Maintain an orderly filing system for parish records, information, programs, etc.
Make photocopies for walk-ins (CWL or other Group Leaders)
Work closely with elementary and secondary schools
Funeral support and communication with funeral homes and luncheon providers
Assist clergy and/or co-workers with administrative based tasks as assigned by the Manager
Complete other duties of a similar nature as required.
Qualifications and Requirements:
College Diploma in Business, Office Administration or a related field of study and/or a minimum of 2 years of related working experience
Ability to maintain strict confidentiality of highly sensitive materials
Proficient in Microsoft Office 365, Canva and Publisher. Ability to do mail merges
Excellent interpersonal, organizational and verbal and written communications skills
Collaborative, supportive, flexible team player with a high degree of initiative
Professional representative of the Diocese of London at all times with an understanding of and desire to support and promote the mission of the Diocese of London.
A police record check as deemed suitable by the Diocese of London will be required of the successful candidate. Basic computer and reading proficiency to successfully complete this education is required.
