Position: Full-time Communications Coordinator / Administrative Assistant – South Windsor Catholic Family of Parishes Primary Work Location: South Windsor Catholic Family of Parishes - 1400 Cabana Road West, Windsor, Ontario Hours of Work: 35 hours per week. Anticipated regular schedule is 9:00AM – 4:30PM Monday to Friday (30 minute unpaid lunch/day). Flexibility in working evenings and weekends based on events and/or other business needs is required. Compensation: Expected salary range: $18.82 – $31.73 per hour. Placement within this range is commensurate with relevant industry experience, qualifications (education, skills) and/or professional designation. Position Summary: Reporting to the Office Administrator, the Communications Coordinator / Administrative Assistant is responsible for the timely creation and distribution of all communications for and/or about the South Windsor Family of Parishes. The position also assists in the completion of general administrative tasks.
Summary of Duties:
Coordinate the creation, printing and distribution of the weekly Family of Parishes bulletin.
Responsible for the timely distribution and updating of all social media-based communications for the Family of Parishes, including: website, Facebook, livestreaming, etc.
Create and deliver communications including email blasts, pamphlets, signage and newsletters.
Support the parishes by providing direct services to the parishioners and public.
Assist coworkers and clergy with required technical support.
Assist with the completion of general office administrative support including but not limited to: reception, supply ordering, taking minutes, preparing meeting agendas, records maintenance and filing, data entry, facility bookings, supply inventories, supply orders, etc.
Organize and support meetings of the Pastoral Team, Pastoral Council, Finance Council, etc. including preparing agendas, recording minutes, distributing materials, and tracking follow-up items.
Other duties of a similar nature as assigned.
Qualifications & Requirements:
Post secondary degree or diploma in an applicable field of study (i.e. communications, marketing, public relations) and/or equivalent hands-on experience in the field of communications.
Proficiency in Canva and Microsoft 365 (Outlook, Excel, Word, Sharepoint, etc.).
Ability to quickly learn and use new software/systems: DDMS, VOIP Phone System, Ministry Scheduler Pro (MSP), eCatholic (website), etc.
Exceptional written and oral communication skills.
Knowledge of basic office workflow and use of equipment such as; photocopiers, printers, etc.
Proven ability to build collaborative working relationships with pastoral staff, administration staff, parishioners and volunteers.
Aptitude for detail & accuracy.
High level of integrity, discretion, with the ability to maintain confidentiality.
Strong organizational skills with the ability to effectively multi-task, prioritize and meet deadlines.
A team player who is adaptable, proactive, and resourceful in solving problems.
Strong interpersonal skills to work collaboratively with colleagues, clergy, and external parties.
Collaborative, supportive, flexible team player with a high degree of initiative.
