POSITION SUMMARY Reporting to the Business Manager, the Receptionist serves as the primary point of contact for parishioners and others when contacting the Sarnia Bluewater Roman Catholic Family of Parishes. This role supports the mission and daily operations of the Family of Parishes by managing all administrative tasks related to mass intentions, maintaining a welcoming environment, coordinating reception, mail, records, calendars, and inquiries. The Receptionist also provides general administrative support to the Pastoral Team and staff as needed.
SUMMARY OF DUTIES:
Control access to the Family of Parishes offices in accordance with the Premise Security Policy.
Greet and assist visitors and provide reception services in person, by phone, and by email for parishioners, vendors, contractors, and guests.
Oversee deliveries and incoming mail and assist with outgoing communications such as letters, bulletins, and newsletters.
Maintain accurate records, files, and calendars, including parish and room bookings.
Manage appointments, phone messages, and meeting schedules for the Pastoral Team and staff.
Receive and direct requests for records, liturgical or sacramental activities, and general inquiries to the appropriate staff members.
Receive, schedule, and record mass intentions; collect associated donations; and communicate schedules to Communications, Finance, and Clergy.
Provide general administrative and clerical support to the Pastoral Team and staff.
Perform other related duties as assigned by the Business Manager.
QUALIFICATIONS AND REQUIREMENTS:
Legally eligible to work in Canada without employer sponsorship.
College diploma in a related field (office administration, business, communications, etc.) or equivalent experience.
At least one year of administrative or receptionist experience in a professional office based environment
Verbal fluency in other languages is preferable.
Ability to maintain strict confidentiality of highly sensitive materials.
Proficiency in Microsoft Office (Outlook, Word, Excel).
Excellent interpersonal, organizational and communication skills.
Collaborative, supportive, flexible team player with a high degree of initiative.
Resourceful self-starter with thorough attention to detail with a desire to produce quality projects and results.
Friendly, hospitable, and professional representative of the Sarnia Bluewater Roman Catholic Family of Parishes and the Diocese of London at all times.
An understanding of and desire to support and promote the mission of the Diocese of London and the pastoral plan of the Sarnia Bluewater Roman Catholic Family of Parishes.
A police record check as deemed suitable by the Diocese of London will be required of the successful candidate.
