Position: Full-time Administrative Assistant – London East Central Catholic Family of Parishes Primary Work Location: 377 Oakland Ave London, ON Commitment: 35 hours per week - primary schedule: Monday – Friday 9:00 a.m. – 5:00 p.m. (1 hour unpaid lunch each day) Compensation: Expected salary range: $22.54 – $31.73 per hour. Placement within this range is commensurate with relevant industry experience, qualifications (education, skills) and/or professional designations. POSITION SUMMARY Reporting to the Pastor, this position is responsible for administrative supportand reception for the London East Central Catholic Family of Parishes.
SUMMARY OF DUTIES:
Provide face to face, online and/or telephone reception for parishioners, vendors, contractors and visitors to the parish office.
Provide administrative support for the parish.
Administrative support duties include, but are not limited to:
Organize, communicate, prepare agendas, record minutes, and follow up on action items as required for meetings and/or events of the Family of Parishes.
Maintain accurate records and files, both electronic and paper based.
Ensure timely completion of required records for certificates, licenses and assist with all administrative aspects of sacramental preparation and documentation.
Attend to appointments, phone messages, travel arrangements and meetings schedules for the Pastor and Associate Priests.
Manage, create and/or update the Family of Parishes bulletin, calendar, room bookings, mass intentions, etc.
Manage correspondence, mail, reports, and expenses.
Inventory and order required supplies for the staff and churches.
Interact and assist, where appropriate, with other staff and committees to support the mission and strategies of the Diocese and Family of Parishes.
Other duties of a similar nature as assigned
QUALIFICATIONS AND REQUIREMENTS:
College diploma in a related field of study and/or direct experience in this field.
Minimum of 1 year of experience in a professional administrative environment.
Strong organizational skills with the ability to effectively multi-task, prioritize and meet deadlines.
Highly proficient in Microsoft 365 and Office Suite (Word, Excel, Outlook, PowerPoint), applied knowledge of Canva and/or other publishing programs.
A team player who is adaptable, proactive, and resourceful in solving problems.
Strong interpersonal skills to work collaboratively with colleagues, clergy, and external parties.
Excellent professional verbal and written communication skills. The ability to speak, read and/or write in other languages, particularly Italian and/or Polish is an asset.
Ability to maintain strict confidentiality of highly sensitive materials.
Collaborative, supportive, flexible team player with a high degree of initiative.
Resourceful self-starter with thorough attention to detail with a desire to produce quality projects and results.
Professional representative of the Diocese of London at all times with an understanding of and desire to support and promote the mission of the Diocese of London.
A police record check as deemed suitable by the Diocese of London will be required of the successful candidate.
